Lead Management

This guide covers all aspects of managing leads in Gridix, from viewing and filtering to adding notes and exporting data.

Accessing Leads

Leads Dashboard

Navigate to Leads

Click “Leads” in the admin dashboard sidebar.

View Dashboard

See overview with statistics and lead list.

Lead Statistics

The dashboard shows real-time statistics:

Total Leads

All leads across all your projects.

Pending

New leads awaiting processing.

Sent to CRM

Successfully sent to your CRM system.

Viewing Leads

Lead List View

The lead list displays:
  • Date/Time: When the lead was created
  • Customer Name: Lead’s full name
  • Contact Info: Email and phone
  • Project: Which project the lead is from
  • Apartment: Apartment number and details
  • Status: Current lead status
  • CRM Status: CRM integration status
  • Actions: Available actions

Lead Details View

Click on a lead to see full details:
  • Complete customer information
  • Apartment details
  • Submission timestamp
  • Status history
  • Notes and comments
  • CRM information (if integrated)

Filtering Leads

Quick Filters

Use quick filter buttons for:
  • All Leads: Show all leads
  • Pending: Only pending leads
  • Sent to CRM: Successfully sent leads
  • Saved Only: Leads not sent to CRM
  • Failed: Leads with errors
  • Cancelled: Cancelled leads

Advanced Filters

Open Filters

Click “Filters” or use the filter panel.

Select Filter Criteria

Choose filters:
  • Project: Filter by specific project
  • Status: Filter by lead status
  • Date From: Start date range
  • Date To: End date range
  • Apartment: Filter by apartment number

Apply Filters

Click “Apply” to filter the lead list.

Clear Filters

Click “Clear” to remove all filters.

Search Functionality

Search leads by:
  • Customer name
  • Email address
  • Phone number
  • Apartment number
  • Project name

Managing Lead Status

Updating Status

Select Lead

Click on a lead in the list.

Change Status

Use status dropdown to select new status:
  • Pending
  • Sent to CRM
  • Saved Only
  • Failed
  • Cancelled

Save Status

Status is updated immediately.

Status Workflow

Recommended workflow:
  1. New Lead → Status: Pending
  2. Processing → Review lead information
  3. CRM Integration → Status: Sent to CRM (if integrated)
  4. Follow-up → Add notes and update as needed
  5. Resolved → Mark as processed or cancelled

Adding Notes

Internal Notes

Add notes for team members:

Open Lead

Click on a lead to view details.

Add Note

Click “Add Note” or “Edit Notes” button.

Enter Note

Type your note:
  • Customer preferences
  • Follow-up actions
  • Important information
  • Team communications

Save Note

Note is saved and visible to all team members.
Notes are internal only and not visible to customers.

  • Use clear, concise language
  • Include dates and timestamps
  • Document important conversations
  • Note customer preferences
  • Track follow-up actions

Copying Lead Information

Quick Copy

Select Lead

Choose the lead you want to copy.

Click Copy

Click “Copy” button or use keyboard shortcut.

Paste Information

Lead information is copied to clipboard in formatted text.
Copied information includes:
  • Customer name
  • Contact details (email, phone)
  • Project name
  • Apartment details
  • Submission date

Exporting Leads

Export Options

Select Leads

Choose leads to export:
  • Selected leads (checkboxes)
  • All visible leads (after filtering)
  • All leads in project

Choose Format

Select export format:
  • Excel (.xlsx): For spreadsheet analysis
  • CSV: For import into other systems
  • JSON: For API integration

Select Fields

Choose which fields to include:
  • Customer information
  • Apartment details
  • Status and dates
  • Notes
  • CRM information

Download Export

Click “Export” to generate and download file.

Export Use Cases

  • Backup: Regular backups of lead data
  • Analysis: Import to Excel for analysis
  • Migration: Export for system migration
  • Reporting: Generate custom reports

CRM Integration

Viewing CRM Status

See CRM integration status for each lead:
  • Sent: Successfully sent to CRM
  • Not Sent: Not yet sent (pending or saved only)
  • Failed: Error during submission
  • Retrying: Automatic retry in progress

Manual CRM Actions

For leads not automatically sent:

Select Lead

Choose a lead with “Saved Only” or “Failed” status.

Retry CRM Submission

Click “Send to CRM” to manually retry.

Open in CRM

If CRM is integrated, click “Open in CRM” to view lead in your CRM system.

Bulk Operations

Bulk Status Update

Update multiple leads at once:

Select Leads

Use checkboxes to select multiple leads.

Choose Action

Select “Update Status” from bulk actions menu.

Select New Status

Choose the status to apply to all selected leads.

Confirm Action

Confirm bulk update. All selected leads are updated.

Bulk Export

Export multiple leads:
  • Select leads with checkboxes
  • Choose export format
  • Download all selected leads

Lead Analytics

Viewing Statistics

Access lead analytics:
  • Total Leads: Count of all leads
  • By Status: Breakdown by status
  • By Project: Leads per project
  • By Date: Leads over time
  • Conversion Rates: Leads to sales (if tracked)
See which apartments generate most leads:
  • Most inquired apartments
  • Lead count per apartment
  • Popular apartment types
  • Price range analysis

Troubleshooting

  • Check filters are not hiding leads
  • Verify project selection
  • Refresh the page
  • Check date range filters
  • Verify you have export permissions
  • Check if leads are selected
  • Try different export format
  • Clear browser cache
  • Ensure you clicked “Save”
  • Refresh the page
  • Check for validation errors
  • Verify permissions

Best Practices

Regular Review: Review leads daily to ensure timely follow-up.
Organize with Notes: Use notes to track important information and follow-up actions.
Filter Effectively: Use filters to focus on leads needing attention.
Monitor Statistics: Track lead statistics to understand trends and improve conversion.
